We are looking for a Finance and Administration Officer educated to diploma or degree level in a relevant accounting/ finance qualification.
You will have a strong understanding of accounting processes, be committed to upholding the financial integrity of the organisation and protecting S.A.L.V.E.’s money so that it can have the biggest impact for our service users.
You will have experience of completing a range of administrative tasks and have a pro-active and positive attitude towards your work.
Key Activities
The following activities are intended as a guide to the main responsibilities of the post and are not an exhaustive list of tasks. The post holder may be required to undertake other duties that are not listed below, at the direction of their manager. The job description may be amended from time to time after consultation with the post holder.
Finance
- Receive departmental budget submissions and accountability of the money used on a weekly basis.
- Collect receipts and check them against accounts for accuracy.
- Support your manager to ensure accurate accountability of money that is given out to staff of S.A.L.V.E., questioning and correcting mistakes to ensure we have high quality financial records.
- Check budget against actual spend and share analysis with management and other staff as needed for financial improvement.
- Flag issues in financial accountability to your manager as soon as they occur.
- Suggest ways to improve and strengthen the financial system and policy of the organization as needed.
- Hold finances safely for the organisation when needed to, to be dispatched as agreed with management.
- To help S.A.L.V.E. to improve its efficiency and make savings in its expenditure where possible.
Administration
- Provide administrative support to the Director as needed.
- Support the administrative processes needed during recruitment – downloading applications, storing them systematically, organising interviews with candidates and ensuring interviewers all know the schedule and have the necessary paperwork to carry out the interviews.
- Ensure that organisational records are kept up to date and stored correctly.
- Ensure strong administrative systems are in place so that data can be easily identified and accessed when needed.
- Help digitalise historical paper records.
- Track what paper records are being kept, where and how long they need to be kept.
- Dispose safely and securely of all historical records that we are no longer required to keep.
- Support the Education team to ensure that children’s school budgets are being submitted on time and to a high quality.
- Support the administration of our education programme, including collating children’s sponsor letters, photos, school reports and case manager letters by the agreed deadlines, scanning them and uploading them to the google drive.
Attainments
In order to be considered for this post you will have to demonstrate that you have:
Qualifications:
- Educated to a diploma or degree level in an accounting or finance qualification.
Experience:
- A minimum of 2 years of experience working in a finance or accounts role.
- Experience of using an online accounting system such as Xero or Sage.
- Experience of working in an administrative role
- Experience of using computers and various IT programmes
Skills:
- Excellent administration and time management skills including good planning and implementation skills
- Excellent computer skills
- Ability to work well with other team members
- Proactive and hard working with excellent accuracy of work and attention to detail and quality
- Proven ability to monitor budgets, both income and expenditure, to balance finances well
- Excellent organisational skills to keep records tidy and systematic
- Able to work on own initiative, under pressure and to tight deadlines.
Knowledge:
- Understanding of legal requirements related to financial record keeping and reporting.
- Strong understanding of IT programmes, especially excel and ideally of accounting software programmes.
Location
S.A.L.V.E. International Uganda (Jinja District) – Based at our Headoffices in Namulesa
Salary
You will be paid a gross salary of 873,600 UGX per month during your 6 month probationary period.
Upon completion of your probationary period, and being confirmed into the role, this will rise to 1,237,600 UGX gross per month.
All pay is subject to PAYE and NSSF.
